Terms of Service

1. Acceptance of Terms

By creating an account on EasyRentFlow or using any of our services, you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not use the platform.

EasyRentFlow is a Software-as-a-Service (SaaS) platform for short-term rental property management, operated by EasyRentFlow ("we", "us", "our").

2. Account Registration

• You must provide accurate and complete information during registration.
• You are responsible for maintaining the confidentiality of your account credentials.
• You must be at least 18 years old to create an account.
• One account per person or legal entity. Duplicate accounts may be terminated.
• You are responsible for all activities that occur under your account.

3. Subscription Plans and Billing

• Free Trial: New accounts receive a free trial with full feature access; its length is shown when you sign up. No credit card is required for the trial period.
• Paid Plans: After the trial, you must subscribe to a paid plan to continue using the service. Plans and pricing are available on our pricing page.
• Payment: Subscriptions are billed monthly or annually. Payments are processed securely via Stripe or bank transfer.
• Renewal: Subscriptions renew automatically unless cancelled before the renewal date.
• Refunds: Payments are non-refundable except where required by applicable law. You may cancel at any time and continue using the service until the end of your current billing period.
• Payment Failure: If payment fails, we provide a 3-day grace period. After that, your account enters read-only mode.

4. Acceptable Use

You agree not to:

• Use the service for any illegal purpose or in violation of applicable laws.
• Upload malicious code, viruses, or harmful content.
• Attempt to gain unauthorized access to other accounts or systems.
• Use the service to send spam or unsolicited communications.
• Reverse engineer, decompile, or disassemble any part of the platform.
• Resell or redistribute the service without our written consent.
• Overload the platform with automated requests beyond normal usage.

5. Your Data and Content

• Ownership: You retain all rights to the data and content you upload to EasyRentFlow. We do not claim ownership of your data.
• License: You grant us a limited license to process, store, and display your data solely to provide the service.
• Data Portability: You can export all your data at any time through the Settings page (JSON or CSV format).
• Data Retention: We retain your data for the duration of your account. If you delete your account, data is permanently removed after a 30-day grace period.
• Backups: We provide backup features, but you are responsible for maintaining your own backups of critical data.

6. Guest Data Processing

When you use EasyRentFlow to collect guest data (through the guest registration system), you act as the Data Controller under GDPR. EasyRentFlow acts as the Data Processor on your behalf.

• You are responsible for ensuring you have a lawful basis for collecting guest data.
• You must inform guests about data processing through appropriate privacy notices.
• Guest data is stored in isolated databases and is not shared between tenants.
• Data retention is configurable and defaults to 5 years from check-out, in compliance with accommodation regulations.

7. Service Availability

• We strive to maintain 99.9% uptime but do not guarantee uninterrupted service.
• Planned maintenance will be communicated in advance when possible.
• We are not liable for downtime caused by factors beyond our control (force majeure, third-party service outages, internet disruptions).

8. Intellectual Property

The EasyRentFlow platform, including its design, code, logos, and documentation, is protected by intellectual property laws. You may not copy, modify, or distribute any part of the platform without our written consent.

9. Limitation of Liability

To the maximum extent permitted by applicable law:

• EasyRentFlow is provided "as is" without warranties of any kind, express or implied.
• We are not liable for any indirect, incidental, special, or consequential damages arising from your use of the service.
• Our total liability shall not exceed the amount you paid for the service in the 12 months preceding the claim.
• We are not responsible for the accuracy of data you enter into the system, tax calculations, or compliance with local regulations.

10. Termination

• By You: You may cancel your subscription and delete your account at any time from the Settings page. Account deletion has a 30-day grace period during which you can reverse the decision.
• By Us: We may suspend or terminate your account if you violate these Terms, fail to pay, or engage in harmful activities. We will provide reasonable notice unless immediate action is required.
• Effect: Upon termination, your access to the platform ceases. You can export your data before termination or during the 30-day grace period.

11. Governing Law and Disputes

These Terms are governed by the laws of the European Union and the applicable national law of the country where the service provider is established. Any disputes shall be resolved through the competent courts of that jurisdiction.

For EU consumers, you may also use the European Commission's Online Dispute Resolution platform.

12. Changes to These Terms

We may update these Terms from time to time. Material changes will be communicated via email or in-app notification at least 30 days before they take effect. Continued use of the service after changes take effect constitutes acceptance of the updated Terms.
